Dental Office Manager

Dental Experience Required

Dental Nook is seeking an experienced Dental Office Manager to lead the daily operations of our practice. We are looking for a confident, organized leader who can create a positive work environment while holding the team accountable to clearly defined responsibilities, systems, and checklists.
This is a hands-on leadership position—not simply an administrative role. The right candidate will take ownership, solve problems proactively, follow through on commitments, and turn plans into action.

Key Responsibilities

  • Lead and support the front- and back-office teams.
  • Manage employee and patient schedules to keep the practice running efficiently.
  • Recruit, hire, onboard, train, and coach team members.
  • Set clear expectations and hold employees accountable to their job duties, checklists, and performance standards.
  • Oversee treatment coordination, financial arrangements, and patient follow-up.
  • Help patients understand recommended treatment, insurance estimates, payment options, and scheduling.
  • Monitor collections, outstanding balances, schedule effectiveness, and other key practice metrics.
  • Address patient concerns professionally and work toward appropriate solutions.
  • Conduct productive team meetings and maintain clear communication throughout the practice.
  • Encourage a fun, supportive, and positive workplace without sacrificing accountability.
  • Maintain compliance with HIPAA, OSHA, and established office policies.
  • Identify operational problems and implement practical solutions.
  • Provide consistently excellent patient service.

Required Qualifications

  • Previous dental office experience is required.
  • Dental management or leadership experience is strongly preferred.
  • Strong knowledge of dental terminology, insurance, scheduling, and treatment coordination.
  • Experience with Open Dental practice-management software is strongly preferred.
  • Excellent leadership, organization, communication, and problem-solving skills.
  • Ability to have direct, respectful accountability conversations.
  • Strong attention to detail and consistent follow-through.
  • Comfortable discussing treatment costs and collecting patient payments.
  • Able to manage competing priorities in a busy dental practice.
  • Proactive, dependable, and personally accountable.

The Right Person for This Role

Our ideal Office Manager is a strong implementer who does not wait to be reminded. You take ownership, communicate clearly, address problems directly, and make sure agreed-upon systems are followed. You can balance compassion with accountability and help create a practice where patients feel cared for and team members know exactly what is expected of them.
